In April of 2019, Eventfinity was awarded the credential services project by the Commission on Presidential Debates (CPD). The CPD is the non-partisan organization that produces the Presidential and Vice-Presidential debates every election cycle.
The Debates were scheduled for the following locations (see below for Covid impact and venue changes)
• Cleveland Clinic/Case Western Sept 29, 2020
• University of Utah Oct 7, 2020
• Adrienne Arsht Center, Miami FL (Scheduled for Oct 16, 2020)
• Belmont University, Nashville TN October 23, 20209
Eventfinity was used to manage all aspects of the credential process including: registration, credential design & production, onsite check-in, security name checks, and access control. Key customer groups included:
• Media - Broadcast Networks, domestic and international print, TV , radio and online media
• CPD - Staff, Guests, Vendors, and SponsorsUniversity/Sites - Staff, Volunteers & Vendors
• Campaign - Staff & Surrogates
Both the Eventfinity platform and our Producers met rigorous technical requirements set forth by the CPD’s CIO and Cybersecurity team to ensure all information collected and stored was done so using the highest encryption and cybersecurity protocols.
Eventfinity’s IT Management team exceeded all expectations and was credited as one of the best and most secure products the CIA has seen.
The Commission on Presidential Debates sought out a secure platform to handle every step of registration with a team to execute to perfection on the most national of stages. Eventfinity was charged with a major arm of the most highly watched televised event series of 2020. Alongside this task, Eventfinity’s team performed under pandemic conditions that affected even the candidates themselves.
In late spring/summer of 2020 as the world was engulfed by a global pandemic, contingency plans started to form. Even as live events were canceled or changing, citing the importance of the debates to the democratic process, the CPD began to explore ways to continue to host the events in the safest environment possible.
Initial debate sites including the University of Notre Dame and University of Michigan opted to back out and were replaced by Cleveland Clinic/Case Western and the Adrienne Arsht Center in Miami, Fl.
Online registration forms were updated to include links to latest CDC Covid health and safety information.
Eventfinity’s email and messaging features were used extensively to communicate with media applicants providing the latest event information.
For large-scale/ high profile events, the credential check in process often sets the tone and is the first impression that customer groups have with the event organizers. Onsite operations at each credential center were reconfigured to meet all safety and social distancing recommendations.
At each debate site, COVID-19 testing operations were implemented and in most cases were co-located and closely tied to the credential check-in process. Credentials could not be issued unless individuals were in the testing protocol.
Access control, an integral part of a high-security events like the debates, was also managed by the Eventfinity platform.
Once external and internal checkpoints were confirmed by CPD Security and the United States Secret Service (USSS) scanning stations were set up by the Eventfinity Access team.
Touchless access control using wireless scanners connected to a local and secure server were installed to provide the safest possible scanning environment. All credentials were scanned to confirm that the pass was valid and the pass holder had the permissions to access secure & sensitive locations.
